Goshen Update: Important Information Inside

Dear Goshen Leaders,
We are very near to our anticipated amazing summer at Goshen Scout Reservation.  Please see below for a few loose ends that might need attention before your arrival.

Goshen Hats
The Goshen Hats for 2014 have not arrived in our office yet.  This is due to some unforeseen conflict on the end of our supplier.  We are checking on their progress daily and when they arrive you will have the opportunity to pick them up from our office or have them available for you at Camp.  Please be sure to remind your in-camp leaders to pick up their hats as the opportunity for your unit to receive them after camp will greatly diminish.

Payment is Due
Please be reminded that the deadline for campers paying at the Regular Camp Rate is May 30th before 11:59 PM.  Prices will increase by $40.00 after that time.  Camper Aid Recipients should have all of their payments into the the Council office (9190 Rockville Pike, Bethesda, MD  20814) by that time also. With the exception of any leaders staying for one or 2 nights, ALL CAMPERS SHOULD BE PAID IN FULL USING THE ONLINE SYSTEM BEFORE ARRIVING AT CAMP.

Leader Training
The NCAC Training Committee is working to finalize the Training Schedule for 2014.  We are always looking for Trainers to help with this.  We are also very happy to announce that we will be offering Wilderness First Aid Courses during weeks 1-3, thanks to our partnership with the Center for Wilderness safety.  Please visit www.wildsafe.org<http://www.wildsafe.org> to find out more about the course and to register.

Refunds

Service Projects
We are compiling our list of service projects now.  If there is a specific project that your unit would like to complete, please contact your Camp Director.  We will display the service projects on our websites and they will be removed once they are chosen by a unit.

Goshen Update: Early Bird Registration Deadline is 4/25

Dear Unit Leaders,

This is a reminder that the Goshen Early Bird Registration deadline is in 2 days! If you intend to register at the Early Bird pricing, please make sure that you do so before 11:45 PM on Friday evening. If you need assistance, please do not hesitate to contact me or Calicoe at the Council office. Also, please note—this year everyone MUST have a payment in the system in order to be considered registered (campers aid and popcorn scouts have their own specific instructions). This especially applies for adults who might be eligible for the free adult rebate—this program is designed to verify the number of Scouts in camp and then issues a rebate based on that number. If you have further questions, please let me know—have a great week and see some of you on Thursday evening at Pender United Methodist Church.

Goshen Update: Leader Meetings

Dear Group Leaders,

This week has been a busy one for your Goshen Team. We are working diligently to make sure that we are extremely prepared for the fast-approaching Summer Season at Goshen Scout Reservation. The things you need to know for the coming week are as follows:

  • We will be holding Unit Leader Orientation Meetings on Monday, April 14th and Thursday, April 17th (date change). At the Marriott Scout Service Center in Bethesda, Maryland. They will begin at 7:30 PM. These meetings are for leaders who are not familiar with Goshen and provides an opportunity for you to meet representatives of your Camp’s staff. If you have any burning issues that you have not been able to email or call about, this would be a great option for you.
  • The Virginia meetings will occur the following week. They will also start at 7:30 PM. We are still working on confirming the Thursday night location and will send the information for both out as soon as it is available. The Monday night meeting will likely be in Springfield and the Thursday night meeting will be in Fairfax.
  • Camper aid forms have been processed and grants have been awarded. Families and leaders will receive their aid letters with instructions starting at the middle of next week. Please follow the instructions provided and call either Calicoe or myself if you have any questions.

Goshen Update: Registration is Live

School Extensions
The school year has been extended in Fairfax Co. (potentially Alexandria Co.) and has partially overlapped with the first week of camp. If you are registered for the first week of camp, your unit should decide if they would like to switch weeks before registering campers. Week 2 (June 29-July 5) is likely to have room but I am happy to help you reschedule to any week that is open, and to a different camp if necessary. Please contact Calicoe (calicoe.richir@scouting,org) to switch weeks.

Planning for Adults

Adding Campers

Registration is now open to add youth and additional adults. (Please read the articles above before adding your adults.) You will need the first and last name of the camper. DOB is not required but can be added. Pay attention to setting the level, this will determine price and cannot be changed later. You should only add campers who have already made a payment to the unit. Payment is required with registration. All unpaid campers will be cleared at midnight of each day.

  • To add a camper, go to Group Menu > Add Camper
  • To be considered enrolled, every camper (Adult & Youth) must be enrolled in the “Morning Flag Ceremony.”
  • After you have added campers, you can enroll everyone in Morning Flag Ceremony by the push of a button, “Enroll My Campers,” located on the Camper Schedule page.
  • If there is no room in Morning Flag Ceremony, then the camp is considered full
Option for large units of 25 or more:  If you would like to receive a template to have your unit auto-uploaded into the online system. Please email Gary (gary.carroll@scouting.org) Subject Line: “Large Unit Upload”


Paying for Campers

We recommend that you add campers in batches and pay in batches. To make a payment, you must be enrolled in at least one course (Morning Flag Ceremony) but you do not need to set your Scouts’ schedule in order to pay.

Earn a free hat, embroidery optional

If you pay by the early bird deadline, then you will also earn a free Goshen hat. As an option, all units who earn hats can have them embroidered with the unit number, city, and state. The cost is $6 per hat and should be purchased through the red “Store” tab after you pay for your campers.

Program Schedules

After a youth is paid for, schedules can be set-up at any time.

  • Webelos, choose between Webelos I (1st year camper) or Webelos II (returning camper).
  • Boy Scouts, plan your merit badge schedule offline by printing your program schedule and making a plan for each boy. Go to www.ncacbsa.org/goshen/forms and look at the resources listed for your camp.
Unit Leader Meetings

This is an optional (but useful!) meeting. Please choose one date at the best location and send one representative per unit. More information to follow shortly.

  • Virginia:  April 7th and 9th Location TBD. POSTPONED
  • Maryland:  April 14th and 16th at the Marriott Scout Service Center.

Goshen Update: Collecting Money Early and Applying Scholarships

We will soon be opening up the register.gotogoshen.org website to add youth (and adults). Start planning now to have payments in hand! Space at camp is reserved on a first come, first served basis. Scouts can be added online and payments can be made by check or credit card. All check payments will come with a processed invoice from the online system. Scouts and Adults should take advantage of the Early Bird savings by getting their payments in early, before the deadline. Check out the FAQs if you have payment questions.

Additional incentives? All Scouts who get their money in by the Early Bird deadline will receive a free Goshen Hat!

Popcorn Scholarships (Free Camp!) are given to youth who are enrolled in the Popcorn Scholarship Program. To be part of the program, Scouts must sell at least $2,500 in popcorn sales from January 1, 2013 to December 31, 2013 and fill out the enrollment paperwork. Please contact Lisa Snip at Lisa.Snip@scouting.org if you are uncertain if you qualify.

What to expect: Parents will receive a letter in the mail that says their Scout has been granted free camp through popcorn sales. Parents need to give a copy of this letter to their camp coordinator in lieu of payment. If the scholarship is being applied to a Goshen camp, then the camp coordinator needs to contact Calicoe Richir at Calicoe.Richir@scouting.org to request these Scouts be added to the online reservation system. Please do not pay for Scouts who have received free camp through popcorn.

The Goshen Greg Augustine Camper's Aid program has been updated. Be sure to review the new form which has new requirements and it is due earlier than usual. All Goshen Camper Aid requests are due at the Council Service Center by February 28th, 2014. The Camper Aid Committee will then convene and make award designations. Requests received after February 28th will only be considered if funds are still available. Please submit this application before registering this Scout for camp online and before paying the Scout's camp fees. Camper Aid will not be awarded or refunded to registrants who have secured funding from other sources. Additionally, Camper Aid will not be granted in excess of the camp registration fee. Please do not submit any payments with the application. For more directions, please see the first page of the form.
